How to Prepare a Landscaping Project Brief in Dubai

A clear landscaping project brief helps turn your ideas into a practical garden plan. Record your Dubai community, site dimensions, existing features and priorities before discussing preparation, materials, installation and aftercare with Desert Dreams. This guide explains what to prepare and which decisions to resolve before work begins.

This guide helps you organise the project scope. To prepare for the initial assessment, use our landscaping site-visit checklist.

Start with one agreed scope

Send Desert Dreams your plan or description, photographs, approximate dimensions and list of priorities. Identify what should stay, what should be removed and which features are essential. Keep the latest drawing or scope version available, with measured quantities distinguished from early estimates.

Our landscaping services in Dubai cover garden design, construction, renovation and maintenance. Depending on your project, the scope may combine planting, paving, irrigation and outdoor features. Separate optional additions so they do not obscure the cost of the core work.

Use completed projects to explain your ideas

Ask to see completed work with a similar scope and confirm which parts the contractor delivered. A garden photograph alone does not explain the preparation, drainage, equipment or aftercare included in a proposal. Use project examples to ask specific questions, then record the answers in your written scope.

Explore the Desert Dreams project gallery when discussing a combined garden and pool brief. For your own project, ask how the proposed work responds to your site conditions rather than assuming a photographed design will suit every property.

Plan the preparation beneath the finishes

Plan the preparation needed beneath each finished surface. Include removal, disposal, excavation, ground preparation and any proposed changes to levels or drainage in the site discussion.

  • Existing items: what will be retained, protected, removed or relocated?
  • Ground preparation: what preparation and supporting layers are included for each finished area?
  • Drainage and levels: what work is included, and which existing conditions still need investigation?
  • Access and disposal: are delivery arrangements, waste removal and making good affected areas included?

Ask for unclear items to be explained in the written scope. Do not assume a general description such as “complete garden works” includes every preparation task.

Check planting, lawn and paving specifications

For planting, confirm the proposed plant types, sizes and quantities, along with soil preparation, delivery and installation. Ask how substitutions will be agreed if the specified plants are unavailable. Confirm whether any establishment visits or replacement terms are offered and record the conditions.

For natural lawn or artificial grass, confirm the area, product specification, preparation, edging and installation scope. For patios and paths, check the surface material, finish, quantities, supporting construction and edge details. Ask to review the proposed samples before final selection.

Our hardscaping and paving services provide context for discussing patios, paths and their relationship to the rest of the garden.

Make irrigation, lighting and feature connections explicit

For irrigation, ask which areas are covered and what equipment, controls, pipework and connections are included. Clarify whether existing components will be reused, repaired or replaced. Include testing and a demonstration of the controls in the handover discussion. See our garden irrigation guide for the planning questions to raise.

If the project includes outdoor lighting, a pergola, gazebo or swimming pool, identify the scope of each feature and who coordinates the connections and adjoining finishes. A pool quotation may need to be read alongside the surrounding paving and planting quotation. Review our swimming pool services when preparing a combined brief.

Separate fixed items, allowances and exclusions

Ask the contractor to distinguish work that is fully specified from amounts allowed for items that remain undecided. An allowance is useful only when you understand what it covers, what selection it assumes and how the final amount will be agreed.

For example, if paving is still to be selected, check whether the allowance covers only the material or also delivery, cutting and installation. If additional preparation may be needed after removal work, ask how that work will be assessed and priced before you approve it.

List exclusions beside the price. These may include separately arranged specialist work, approvals or access charges, repairs to existing systems, or ongoing maintenance. Confirm which apply to your own proposal rather than assuming a standard list.

Agree the programme and payment stages

Ask for the proposed sequence, expected duration and assumptions behind the start date. Clarify dependencies such as approvals, access, material selections and specialist work. Check how delays or changes would be communicated.

Read payment stages alongside the work they relate to. Confirm the total payable, whether taxes and stated charges are included, quotation validity and how optional items affect the total. Ask how completion and outstanding items will be recorded. Keep the agreed stages and any outstanding decisions together in your project records.

Keep installation and aftercare separate

Clarify what happens at handover: a walkthrough, testing of installed systems, care guidance and a list of any outstanding work. Request the actual terms of any product or workmanship warranty offered, including exclusions and who handles a claim.

Routine maintenance may be a separate service. If visits are included, ask for the period, frequency and tasks. For a separate care plan, identify the tasks your planting, lawn and equipment need and agree a suitable visit schedule. Our garden maintenance guide can help you prepare those questions.

Keep a clear project record

Create one row for each work item in your project checklist and record:

  1. The quantity and specification.
  2. What preparation and installation are included.
  3. Whether the amount is fixed, an allowance or optional.
  4. Any exclusion or unanswered question.
  5. The agreed scope, budget and decisions still to make.

Discuss unanswered questions with Desert Dreams and update the written brief when decisions change. Confirm the scope, assumptions and responsibilities before scheduling the work.

To plan your garden with Desert Dreams, share your project brief: community, photographs or plans, required work, budget priorities and timing. Identify new construction, renovation and maintenance separately. Share your landscaping requirements and ask for unresolved allowances or exclusions to be clarified before deciding.
